Where the request concerns a booking or quotation, the processing is based on pre-contractual steps taken at the request of the person concerned. For other enquiries, it is based on Relais 375’s legitimate interest in responding to requests.
 

Booking a stay or service

record and manage the booking;

• prepare for the guest’s arrival;

• provide administrative and commercial follow-up;

This processing is based on the performance of the contract, pre-contractual measures and Relais 375’s legal obligations.
 

“Instants Partagés” alerts

The email address provided through the alert form is used solely to inform the person about:

• the date of the next Instant Partagé event;

• the proposed menu;

• the price and booking arrangements.
   

This processing is based on the person’s consent. Consent must be freely given, specific and informed, and must be as easy to withdraw as it was to give.

Subscribing to Instants Partagés alerts does not automatically subscribe the person to a general newsletter.

6. Bookings through Eviivo

The room booking button redirects visitors to the Eviivo booking service.
 

Data entered on this platform is processed in accordance with Eviivo’s terms and privacy policy. Relais 375 receives the information required to manage the stay, welcome the guest, process payment and comply with its administrative obligations.
 

7. Data retention periods

Personal data is retained only for as long as necessary for its intended use:

• contact and quotation requests: for the time required to process the request, then for a maximum of three years from the last active contact;

• Instants Partagés alerts: until consent is withdrawn or, at the latest, three years after the last active contact;

• booking-related data: for the duration of the business relationship, then for the periods required to manage any claims and comply with legal obligations;

• accounting documents and invoices: for ten years, in accordance with accounting requirements;

• preferences and cookies: for the periods indicated in the cookie management tool.
   

The CNIL states that personal data must not be retained indefinitely. It generally recommends a period of three years after the last contact for data used for marketing purposes, while accounting records must be kept for ten years.
